Policies
Minimum Revenue Requirement Minimum Revenue requirements apply to all events based on date and time of the event.
Fridays Events may start at any time, but must be completed by 12:00am
Saturdays Daytime events may start as early as 10:00am, but all must completed by 4:00pm, Evening events may start as early as 6:00pm, but must be completed by 12:00am
Sundays Events may start at any time, but must be completed by 12:00am
On-Site Ceremony A $500 ceremony fee includes one hour ceremony prior to your reception, set up and break down of white garden chairs at ceremony site, our sound system, white garden trellis and a one hour ceremony rehearsal. Ceremony Rehearsal site may differ from actual contracted ceremony site dictated by The Warren Centers business needs. You are required to have your Wedding Ceremony Officiant present at any rehearsal. Your Guests will be allowed access to the grounds no more than 15 minutes prior to the Ceremony start time. We will not serve alcoholic beverages prior to the Ceremony starting. If on site ceremony exceeds 200 Guests, please add an additional $150.
Coat Check A coat room attendant is available at $150.00 for your event for five consecutive hours. Additional hours available at $30.00, per hour.
Additional Hours Additional Hours exceeding five hours of service is $350 per hour for use of the space and $60 Per Bartender, Per Hour if Bar Service continued. All functions must conclude by 12:00a.m.
Gift Bags Client provided gift bags may be distributed to your guests via The Inn for a handling/delivery fee of $2 per bag. This must be arranged no later than 10 days prior to your event, with charges billed to your Master Account.
Overnight Accommodations There is on-site lodging for your guests. Please call for rates and availability.
Guest Guarantee Policy For all private functions where charges are made on a per person basis, The Warren Conference Center & Inn must have a specific attendance number. An estimated guest count is due at the time the reservation is made. The estimated revenue amount will be based on the estimated guest count and will be used to determine applicable deposits. A final guarantee count is due ten (10) business days prior to the function. Reduction in the number of guests less than ten (10) business days in advance and no-shows will not reduce the final invoice. You will be billed for the guaranteed number of guests or the actual attendance, whichever is greater.
Food & Beverage / Package Minimums All Events are required to meet Revenue / Package Minimums determined by date, time, and location of the event. If you fall below this Minimum, you will be billed the difference.
Menu Pricing Menu prices are published periodically and are subject to change without notice. Menu pricing is guaranteed 90 days prior to the event.
Children and Vegetarian Menu Options Children, Vegetarian, and Vegan Menus are available. Please contact our Catering Sales Manager for menu’s and pricing.
Deposit & Final Payment A non-refundable deposit of 25% of the estimated value of the function is due with the signed contract. We accept MasterCard, Visa, Discover, Diner’s Club and American Express for the deposit only. The Final Balance is due 10 business days prior to the Event.
Administrative Charge and Sales Tax Wedding packages and additional food enhancements are subject to a Taxable 20% Administrative Charge and 5% Massachusetts State Meal Tax as noted.
Food Policy Due to insurance and health code regulations, all food and beverages must be provided by The Warren Conference Center & Inn and is not allowed to be removed from an Event.Your menu selections are due fourteen (14) days prior to the event.
Liquor Policy The Warren Conference Center & Inn is the only licensee authorized by the Commonwealth of Massachusetts and The Town of Ashland, to sell and serve food, liquor, beer and wine on the premises. Accordingly, no food or beverage may be brought into or removed from the property. There are no exceptions. The Warren Conference Center & Inn reserves the right to refuse alcohol service to anyone at any time. We reserve the right to discontinue bar service for any reason. Proper identification is required by all guests, including the bridal party. Pouring of alcohol will stop approximately 45 minutes prior to the scheduled end of the function. The bar may remain open to serve non-alcoholic beverages. *Please see your Catering Sales Manager for further Liquor Regulations.
Liability The Warren Conference Center & Inn reserves the right to inspect and control all private functions. Liability for damage to the premise will be charged accordingly. The Warren Conference Center & Inn cannot assume responsibility for personal property and equipment brought onto the property. Safe deposit boxes are available at the front desk if personal property needs to be secured. The Warren Conference Center & Inn assumes no responsibility for personal items left unattended in function rooms or on coat racks.
Decorations The Warren Conference Center & Inn will not assume responsibility for any articles displayed or distributed at the event. We will do our best to display or distribute articles as instructed. Charges may apply. Please speak directly with your Catering Sales Manager. All decorations must comply with local fire laws. Please do not affix decorations or signs to the walls, doors, fixtures or ceilings with materials other than those approved by The Warren Conference Center & Inn.
